IMPORTANT NOTES

Travel Days

The first day of the course is Monday NET 0900 (9am). The travel days to and from the course is the Sunday before and the Saturday After. 

Required Tech

Students are required to bring a personal laptop or tablet CAPABLE of running the software, as it will be used throughout the course. – If they cannot keep up they will be pushed to the next course availability.


To run Xactimate efficiently in the field, their device must meet the following minimum requirements:

> Windows 10 or Windows 11 (64-bit) laptop (Mac and Chromebooks are not supported) 

> Intel Core i3/i5 or AMD Ryzen equivalent processor (dual-core or better)

> Minimum 8 GB RAM (16 GB recommended for optimal performance)

> At least 30 GB of available storage (SSD strongly recommended)

> 1920×1080 screen resolution preferred

> Reliable high-speed internet connection

> External mouse (essential for efficient sketching).

> Laptop charger and a small power strip/extension cord.

Required Field Gear

> Digital camera or smartphone for inspection photos.

> 25’ to 35’ tape measure or a Laser Measurements | DISTO.

> Clipboard and pens/pencils.

Required Attire

Classroom Days: Comfortable, casual attire.

Inspection Day: Business casual (khakis and a collared shirt).

Footwear: Sturdy, closed-toe shoes or boots for field inspections.

Lodging & Local Information

Travel Responsibility Notice

Hotel accommodations for the course are provided; however, all travel expenses are the responsibility of the student, including transportation to and from the training location, airfare, mileage, rental vehicles, rideshare/taxi services, and transportation between the airport and hotel upon arrival and departure. 

Cancelation Policy

Students who cancel within seven (7) days of the course start date or fail to attend (no-show) are responsible for all costs incurred on their own behalf and may also be responsible for any costs or fees incurred by the course provider as a result of their cancellation. Each situation will be reviewed on a case-by-case basis to determine eligibility for placement in a future course.

Course Outline

Course Purpose

  • Provide foundational training in NFIP flood claims handling from loss notice to final report.
  • Develop basic proficiency in Xactimate for flood claims.
  • Prepare students to inspect, scope, document, and report flood losses.
  • Introduce Administrative Strategies SOP requirements and reporting timelines.

Day 1 – Receiving the Loss Notice & Xactimate Setup

  • Understanding WYO vs. NFIP Direct loss notices
  • Flood terminology and acronyms (GCF, NFIP, WYO, FIRM, etc.)
  • Reviewing policy information, limits, deductibles, and prior losses
  • Identifying contact information and insurable interests
  • Installing and configuring Xactimate
  • Setting up flood-specific templates and adjuster information
  • Entering claim information into Xactimate
  • Introduction to preliminary reports, status reports, underwriting alerts, engineering requests, advance payments, and proof of loss
  • NFIP foundation classifications and inspection considerations

Day 2 – Contacting the Insured & Inspection Planning

  • Administrative Strategies reporting timelines
  • Mapping and prioritizing assigned claims
  • Conducting the initial insured phone call
  • Flood Claims Handbook requirements
  • Gathering critical inspection information
  • Managing difficult or emotional insured interactions
  • Scheduling inspections and establishing priorities
  • Introduction to field scoping procedures

Day 3 – Field Inspection & Property Scoping

  • Required field equipment and preparation
  • Meeting the insured and establishing rapport
  • Conducting the initial walkthrough
  • Documenting flood lines and exterior elevations
  • Photographing flood damage effectively
  • Differentiating flood damage from other perils
  • Recognizing building materials, finishes, cabinetry, flooring, and trim
  • Beginning Xactimate diagramming and claim development

Day 4 – Xactimate & Report Development

  • Building and refining the flood claim
  • NFIP and FEMA documentation requirements
  • Photo management and activity logs
  • Risk valuation and ITV concepts
  • Building preliminary reports, underwriting alerts, engineering requests, and advance payment packages
  • Developing the final report package

Day 5 – Culmination Exercise

  • Receive a loss notice
  • Conduct a simulated insured interview
  • Inspect and scope a flood-damaged property
  • Create a complete Xactimate estimate
  • Build and organize a final report package
  • Instructor review and examination of completed file

Course Outcome

Students will complete a simulated flood claim from start to finish and gain the foundational knowledge necessary to continue field mentorship and development as flood adjusters.
